MEET CLASSIFICATION: This meet is open to all USA Swimming athletes and clubs.
MEET FORMAT: The meet will be swum as timed-finals on Friday and Sunday. The events on Saturday will be trials/finals. The Friday evening events will be swum fast-to-slow, alternating heats of women and men.
SCRATCH PROCEDURES: Coaches will receive scratch sheets, which must be returned no later than 35 minutes before the beginning of the session.
Failure to Compete in Finals: Any swimmer qualifying for any heat of finals who fails to compete and who has not been scratched will be barred from all further competition in the meet. A declared false start or deliberate delay of meet is not permitted and will be regarded as a failure to compete. Exceptions for Failure to Compete in Finals: No penalty shall apply for failure to compete in finals if: 1. The Referee is notified in the event of injury of illness and accepts the proof thereof. 2. A swimmer qualifying for a final heat based on the results of preliminarily notifies the announcer within 30 minutesafter the announcement of qualifiers that he may not intend to compete and confirms his final intentions within 30 minutesfollowing his last individual preliminary event. 3. It is determined by the Referee that failure to compete is caused by circumstances beyond the control of the swimmer.
FACILITY: The Hopkins School Pool is a 6 -lane, 25-yard pool, with non-turbulent lane lines and electronic timing. Colorado starting blocks with speed lights and RJP’s will be in use. Adequate seating and parking is available.
DISABLED ACCESS: Limited handicapped parking is available in the Athletic Center parking lot. The spectator area is accessible for both the handicapped and the elderly. COURSE: This meet will be run in short course yards.

WARM-UPS: The pool will open for warm-ups one-and one half hour before the beginning of the morning sessions, and one-hour before the afternoon and evening sessions. The pool will close five minutes before the beginning of each session. Teams will be assigned warm-up lanes after all entries are received. CT Swimming warm-up procedures will be in effect.
ELIGIBILITY: All athletes must be current athlete members of USA Swimming. All coaches must present a valid USA Swimming coach card to the Meet Director prior to the commencement of any sanctioned swim meet, and must have this card with them while on deck.
ADAPTED SWIMMING:Any current athlete members of USA Swimmingwith a disability as defined by USA Swimming Rules and Regulations may enter this meet. If modifications to USA Swimming rules are necessary then the coach or athlete must notify the meet referee of any disability prior to competition.
ENTRY LIMITATIONS: 2 events on Friday, 3 events on Saturday, and 4 events on Sunday, excluding relays.
ENTRY TIMES: Entry times should be in short course yards. Please do not use NT for an entry. If you must, estimate the swimmers time.
DEADLINES: Entry deadline is January 28, 2009. Mail hardcopy and payment to the entry chairperson: Lisa Earley, 846 Beechwood Road, Orange, CT, 06477. All entries must be typed or printed legibly, and must use full names and registration numbers from USA Swimming registration. No refunds will be given for entries that are accepted, or for entries that are rejected due to improper entry. Any swimmer who is entered and is unregistered, will be scratched from the meet until registration is completed..
ELECTRONIC ENTRIES: Electronic entries (such as from Hy-Tek Team Manager or other team management software) that are in CL2 or SD3/SDIF format may be emailed as an attachment to the entry chair at
. Please check that your team name, address, and contact information are listed correctly in this file. Entry fees must accompany the paperwork or be received no later than January 28, 2009. The entry is not considered accepted until the entry fee has been received.
ENTRY FEES: Electronic entries: $4.50 for individual events, $5.00 for Friday’s events, $8.00 for relays. Non-electronic entries: $5.00 for individual events, $6.00 for distance events, $8.00 for relays.
PAYMENT INSTRUCTIONS: Please make checks payable to the Hopkins School and mail to: Lisa Earley 846 Beechwood Road, Orange, CT. 06477. Payment must be received by January 28, 2009.
CUT PROTOCOL: If the meet is oversubscribed we will eliminate teams based on the date we received their entry. Entries are accepted on a first come first serve basis until the meet is full. Formal team entry date is determined by the date of entry of the hard copy and receipt of payment by the host club.
HEAT LIMITS: Only the fastest 24 girls and 24 boys will swim in the Senior 1,000 free, the fastest 18 girls and 18 boys in the Senior 400 IM, and the 12/under 500 free. A 12/under may not enter the 1,000 free unless at the entry deadline the event is not full. A notice will be sent out to all teams regarding the availability of space in this event on Monday, February 2, 2009. If a swimmer is cut from a heat limiting event we will allow the swimmer to substitute another event. This must be done no later than Wednesday, February 4, 2009. Clubs will be notified of any changes and or cuts no later than Monday February 2, 2009.
RESERVE THE RIGHT TO MAKE CHANGES: The meet referee reserves the right to make any adjustments to the provisions of the meet announcement deemed necessary to ensure the fair and efficient running of the meet, with prior approval from Program Operations. Clubs will be notified of cuts no later than Monday before the meet.
RELAYS: There is no limit to the number of relays teams you may enter per event. All relay swimmers must be officially entered in the meet.
- Diving will be prohibited during warm-ups except in specifically announced one-way sprint lanes. There will be no diving in the warm-up and warm-down areas at any time
- No shaving is permitted at the competition site.
- No glass containers are permitted within the facility.
- Swimmers must be under the supervision of a coach. If a swimmer arrives at the meet without a coach, the swimmer should notify the referee before he/she warms up. The referee will assign the swimmer to a registered coach for warm-ups.
- No electronic devices with cameras are permitted in the locker rooms.
RULES: 2009 USA Swimming rules will govern all competition.
TIME TRIALS: Time trials will be offered at the discretion of the meet referee if time allows on Sunday only, between the morning and afternoon session. Time trials are $5.00 for individual events. No time trials will be allowed for events conducted on Friday evening.
TIMERS OR WORK ASSIGNMENTS: Teams will be assigned responsibilities as back-up timers based on the size of the team’s entry. Teams must provide their own timers and counters for the timed final distance events (events 1,2,3.4.5 & 6). Officials will also be needed. Please contact Karen Barber, head referee at

DECK ACCESS: Only athletes, coaches, officials, and official meet staff are permitted on the pool deck.
SCORING: Standard scoring for events will be used (see below for point totals).

AWARDS: In the 13 & over events medals will be given out for the top three (3)) finishers in each individual event, and the top three (3) relays; in the 12/under events medals for the top three (3) finishers and ribbons for 4th – 6th place in each individual event, and medals for the top three (3) relays.
CONCESSIONS: A concession stand will be in operation for the duration of the meet.
PARKING: There is ample parking available in front of the athletic center.
DIRECTIONS: From Rte. 15 (Wilbur Cross Parkway, Exit 59, South, from Hartford): At the end of the exit ramp, turn right. Rte. 63 (Amity Road) and Rte. 69 (Litchfield Turnpike) merge to form Whalley Ave. Approximately ¾ of a mile from that intersection, turn right onto Rte. 122 (Dayton Street). After traveling one block, follow Rte. 122 through the traffic signal onto Forest Road. The Hopkins driveway is on the right immediately after the next traffic signal.
From Rte. 34 or 15 (Wilbur Cross Parkway, Exit 57 North, from NYC): From Rte. 15, take Rte. 34 (Derby Turnpike) east for 2-1/2 miles; turn left onto Rte. 122 (Forest Road). Hopkins is on the left after approximately ½ mile.
From Rte. 91 or Rte. 95 North (New London- Hartford): Exit at the Oak Street Connector-Downtown Rte. 34 (which is Exit #1 on I-91 and Exit #47 on I-95). Proceed to the end of the connector and then exit straight ahead onto the parallel Frontage Road (Rte. 34). Continue on this road about two miles until you reach the Boulevard. Take a right and get into the far left lane. At the light take a left—all the while remaining on Rte. 34. Continue until you come to Rte. 122 (Forest Road). Take a right and Hopkins will be on the left after traveling about ½ mile.
From Rte. 95 (North, from NYC): Use Exit #43 (Rte. 122, Campbell Ave. West Haven). Turn left at the end of the ramp. Follow Rte. 122 for 2 miles across both Rte 1 (Boston Post Road) and Rte 34 (Derby Turnpike), at which point it becomes Forest Road. Hopkins is on the left about ½ mile ahead.
